Instructions for Faculty with Students Scheduling Test in the CEA Test Center

Each semester, students who need test accommodations must request from the Center for Educational Access (CEA) that a Faculty Notification Letter be emailed to their faculty. Refer students without letters to the CEA. 

The student should request Faculty Notification Letters in advance so that faculty will receive them at least seven days prior to any upcoming test/quiz.  If a student does not meet this deadline, faculty have the discretion of providing the test with accommodations themselves or by completing their responsibilities if the student schedules his/her test to be proctored in the Test Center. Please note that the CEA Test Center service is optional; thus, academic departments who have the resources to provide accommodated exams are encouraged to do so for students requiring a distraction-reduced  test environment and/or additional time (in accordance with the University’s Academic Policy Series 1520.20).


Faculty have three responsibilities surrounding the test administration in the Test Center:  (a) review student’s appointment time, (b) upload the test, and (c) send test instructions.    

If a student submits a request for his/her test to be administered in the CEA Test Center, Faculty will receive a reminder with a subject line “[CEA] Testing Request Reminder for YOUR CLASS INFO (CRN: xxxx)”.  The reminder serves two purposes:

  1. To make instructors aware that the student has scheduled his/her test and to give instructors an opportunity to review the request to ensure the day/time is agreeable.  If the instructor disagrees with the student’s appointment time, the instructor must immediately reply to the email and include the time parameters that are permissible.  The Test Center will contact the student to change the time.
  2. To request that a copy of the exam be sent to the Test Center.  Tests can be submitted by clicking on the link within the reminder email to UPLOAD the test.  

According to University Policy, instructors are responsible for sending a copy/copies of their test to the Test Center at least two days prior to the test administration.  This is necessary to give the Test Center time to assign an appropriate number of staff such as proctors, readers, or scribes; prepare test materials’ envelope; and convert the test to an alternative accessible format, if necessary. 

This can be done by clicking on the link within the reminder email to UPLOAD your exam.  

Test instructions can be communicated to the Test Center via:

  • the “Notes” section when uploading the test and/or
  • completion of a Test Instructions Form. The Test Instructions Form can be uploaded when a test is uploaded, attached to an email sent to OR hand delivered with the test to the CEA Test Center.
